Bank of America Admin Assistant in Chicago, Illinois

Job Description:

Provides administrative support for the Digital Channels Product team in Chicago as well as responding to the CashPro mailbox and performing analyst type of duties.

Core function and role requirements

  • Provide administrative assistance to the Chicago team, which includes: ordering supplies and assisting with travel expense reports, PC issues, visitors, mail, TechDirect, Ariba, etc.

  • Manage Security mailbox and make sure all requests are handled within 24 to 48 hours.

  • Provide support for special projects and logging of SOC report distribution

  • Help schedule conference and TP rooms as well as client site visits

  • Manage the kitchen area, schedule cleaning of refrigerators, and supplies

  • Assist MD with scheduling calendar and expense reports

  • Book travel or make travel adjustments for associates, if needed

  • Resolve printer issues and manage maintenance of printers

  • Assist interns and TMAPs with equipments and setups as they arrive and leave the group


  • Strong knowledge of general business and corporate culture

  • Polished professional with strong written and verbal communication skills

  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint, Visio)

  • Must be well versed in Concur or other Travel & Expense software.

  • Highly organized with strong attention to detail

  • Excellent time management; able to effectively prioritize

  • Ability to work effectively under pressure, adapting to unexpected events, responding well to change

  • Self-starter, proactive with ability to juggle multiple responsibilities and reprioritize tasks based on new information or shifting deadlines

  • Exemplary demonstrated work ethic and pro-active, ‘can do’ approach

  • Ability to learn quickly and take on new responsibilities

  • Must have excellent judgment; independent thinker and resourceful

  • Self-starter with excellent anticipation skills; problem solving; follow up

  • Ability to handle highly sensitive, confidential and non-routine information

  • Strong interpersonal skills; comfortable working with people at all organizational levels and able to adapt to diverse perspectives and styles

  • Maintains an understanding of our travel/expense related policies and procesure, serving as a resource and subject matter expert for the team

  • Coordinate internal/external meetings and conferences call
